Answers to tenants' frequently asked questions

On this page you can find all frequently asked questions relating to your rental agreement, (financial) administration and maintenance for your rental home or business premises. Tenancy agreement

Are you interested in one of City Estate's residential spaces? Let us know by sending an e-mail to info@cityestate.nl.

We do not work with waiting lists, but with application forms. If you are interested in a property you can register as interested. This is free of charge and there are no conditions attached.

The moment a property becomes available, City Estate will assess which of the interested parties is the best fit for the vacant property. Those candidate tenant(s) will be contacted for a round of viewings.

If you have found housing through City Estate, it is obligatory to register with the municipality in which this property is located. The registration will register you in the basic records of the relevant municipality.

You must report the move within four weeks before or no later than five days after your address changes.

The notice period is always stated in the lease agreement. Most leases have a notice period of one full calendar month. 

Example 1:
If you terminate the lease on May 31, June 30 is when you must turn in your keys.

Example 2:
If you terminate the lease on Dec. 10, Jan. 31 is when you must turn in your keys.

If you wish to terminate the rental of your accommodation, we request that you always notify us by e-mail or (registered) letter. Telephone terminations will not be processed. 

When we have received the cancellation in good order we will always send you a confirmation. The confirmation will also state the end date. The stated end date takes into account the notice period as stipulated in the rental agreement, often one full calendar month starting onthe 1st of the month.

Fixed-term lease:
There is no minimum lease term for a fixed-term lease. If you wish to terminate the rental agreement, the notice period as stated in the rental agreement applies. This is usually one full calendar month.

Indefinite rental agreement:
Terminating a rental agreement during the agreed rental period is only possible with the permission of your landlord. If you would like to make a request please email us at beheer@cityestate.nl.

There are costs associated with early termination of the rental agreement, which are the responsibility of the departing tenant. If you agree to these costs in writing, you may be able to leave the property earlier if a new tenant is found for this purpose.

If your partner / co-tenant has passed away, this needs to be adjusted in your rental file. Please send the death certificate to beheer@cityestate.nl so that you will be addressed correctly in future communications.

If the contact details need to be changed, you can of course inform us immediately. If your situation is different, we advise you to contact us directly by e-mail or by telephone on 085 - 06 07 004.

A landlord statement is a form that deals with your rental behavior. Most landlords request this form during the selection/screening process for new housing.

You can request this form from us if you want to leave your accommodation. In this statement we indicate the following points:

- The amount of your current rent;
- Whether you have rent arrears;
- Whether you have met your financial obligations on time over the past period;
- Other matters such as any nuisance caused to local residents.

You can request the landlord statement via beheer@cityestate.nl. Clearly state the address and house number. We will send you the statement within a few working days. To protect your privacy we will send the landlord statement only to the contact details known to us.

In principle, the accommodation should always be left in the same state and condition as you received it at the start of the rental period. If you wish to take over items such as a bed, closet or desk, that is your own responsibility. City Estate will never take responsibility for this or mediate in this. We will only, with the approval of the new tenant, provide the contact details of the new tenant. This makes it possible to make mutual arrangements.

Damage to the shell of your home (casco) is covered by buildings insurance. This insurance is taken out by the owner of your rental accommodation.

Unfortunately it sometimes happens that damage occurs to your home contents through leakages, fire or the actions of others. When renting accommodation through City Estate, you should therefore take out your own third-party insurance, glass insurance and contents insurance. Unless specific other arrangements have been made with you in your rental agreement.

Financial Housing

The rent should always be credited to us by bank transfer before the 26th of the month for the following month. So you always pay the rent of your living space in advance.

We use a standard security deposit of twice the bare rent.

If the accommodation is delivered in good condition, there are no arrears and no further agreements have been made with our employee during the final inspection, you will receive the deposit back as soon as possible to our known bank account number.

If it appears that you are financially unable to pay your rent on time, you should contact us as soon as possible. If you let us know at an early stage, we can find a solution together and any arrears will be kept to a minimum. 

If you do not pass anything to us and do not contact us further, high additional (collection) fees will be charged.

Maintenance Homes

At the tenant's expense are minor maintenance work, repairs and replacements arising from normal use of your housing.

These repairs are legally defined in the Minor Repairs Decree, based on Article 240 of Book 7 of the Civil Code (Minor Repairs).

Note: We never take repair requests by phone.

Depending on the urgency, we will assess your repair request and forward it to our technical department. Urgent requests will be assessed and forwarded to the technical service as soon as possible. Less urgent calls may take up to several working days. 

Rental agreement Commercial property

If you wish to terminate your rental, we request that you always notify us by e-mail or (registered) letter. Telephone terminations will not be processed.

If you, as the tenant of an office or business premises, wish to transfer the lease to another party due to the sale, takeover or change in the legal form of your company, permission is required from your landlord. You can apply for a substitution request.

Please note that there are costs associated with carrying out a substitution. We will inform you in advance.

Do you want to make a renovation or change to the rented property? Then you must request approval for this from your landlord. We will assess this and possibly make further arrangements for its implementation. To approve the renovation, we would like to ask you to provide the following documents:

- Sketch or floor plan of the current situation;
- Sketch or floor plan of the proposed change;
- Possibly supplemented by an itemized quotation from the supplier you intend to use;
- If no quotation is available for this, we would like to receive a step-by-step plan with a clear description of the proposed work.
